Odoo in Costa Rica

We implement Odoo from Costa Rica, for Costa Rican companies. Electronic invoicing that Hacienda (Costa Rica's tax authority) accepts, payroll that reconciles with the CCSS (Costa Rica's social security fund), and our own development where the standard falls short.

Most ERP projects that fail in Costa Rica don't fail because of the software. They fail because nobody took ownership of the three things that aren't optional here: the electronic tax document, payroll, and fiscal document numbering by branch.

Electronic invoicing with Hacienda

The Costa Rican electronic tax document isn't a nicely designed PDF. It's an XML file with a defined structure, signed with the company's cryptographic key, sent to Hacienda and subject to a response that can be either acceptance or rejection. An implementation that doesn't handle rejections explicitly produces phantom invoices and discrepancies that surface three months later.

What we solve in every project:

Numbering, branch and warehouse: the Costa Rican problem

A company with several points of sale needs each branch to have its own fiscal document numbering, consistent with the accounting journal and with the warehouse the goods ship from. Standard Odoo doesn't tie those three together. We've solved it with proprietary modules that set the warehouse, journal, payment terms (cash or credit) and numbering from the sales document, so users can't get it wrong even if they try.

Payroll, CCSS and salary tax

Costa Rican payroll has rules no generic module includes: employer and employee social security contributions, aguinaldo (13th-month pay), vacation, preaviso and cesantía (notice pay and severance), and the income tax brackets on salaries. We work with our own payroll suite for Costa Rica that produces the payroll, the reports for the CCSS and the journal entries without exporting to Excel along the way.

Always check the current version of the format, deadlines and obligations with the relevant authority or your tax advisor before planning. Requirements change, and no website — this one included — replaces the official source.

Accounting a Costa Rican accountant recognizes

An orderly chart of accounts, withholdings handled properly, bank reconciliation that doesn't demand heroics at month-end, and closes that actually close. It sounds basic; it's where the most time gets lost when the implementation was done by someone who has never seen a fiscal year-end close in this country.

Custom development when the standard falls short

Odoo covers a lot, but not everything. When the operation needs something the standard doesn't do — discount control by user profile, real-time margin dashboards, direct thermal printing, credit and past-due control that holds invoicing — we build the module, with its own license, repository and controlled deployment. No patches on the database.

How we work

Frequently asked questions

Can Odoo handle electronic invoicing in Costa Rica?

Yes. Odoo issues the Costa Rican electronic tax document through a localization that generates the XML, signs it with the company's cryptographic key, sends it to Hacienda (Costa Rica's tax authority) and processes the response. The difference between an implementation that works and one that causes trouble lies in how it handles rejections, contingency and the CABYS catalog (Costa Rica's goods-and-services catalog), not in issuing the document itself.

Does Odoo handle payroll with the CCSS?

Standard Odoo doesn't include Costa Rican rules. We work with our own payroll suite for Costa Rica that calculates social security contributions for the CCSS (Costa Rica's social security fund), aguinaldo (13th-month pay), vacation, preaviso (notice pay) and cesantía (severance), applies salary tax, and generates the payroll reports and journal entries without going through Excel.

How long does it take to implement Odoo in a Costa Rican company?

A small company with clear processes can be up and running in four to eight weeks. With electronic invoicing, several branches, payroll and historical data migration, three to six months is realistic. Getting the cryptographic key from Hacienda is usually the bottleneck, so it's best to start that process on day one of the project.

Can we migrate from the accounting system we already use?

Yes. We migrate the chart of accounts, customers, vendors, products, opening balances and inventory. What almost never makes sense to migrate is the full transaction history: the old system stays available for lookups, and Odoo starts with clean balances as of a cutoff date.

Do you work with companies outside the Greater Metropolitan Area?

Yes. Most of the work is remote — Odoo runs in the cloud and development is deployed through Git — with on-site visits when the project calls for it, typically during the initial process discovery and at go-live.
